1. What information is collected
FitVault collects the following categories of information from clients and prospective clients:
- Contact details — full name, email address, phone number, date of birth.
- Emergency contact details — name, phone number, and relationship of a nominated emergency contact.
- Health information — responses to PAR-Q health screening questions, declared injuries, conditions, and training goals. Health information is treated as sensitive information under the Privacy Act.
- Training records — session attendance, progress measurements, and program notes.
- Payment records — transaction details, package selected, and payment method.
- Communication records — emails, SMS, and WhatsApp messages exchanged in the course of coaching.
2. How information is collected
Information is collected directly from you when you complete the FitVault Client Intake Form, send a message via WhatsApp/SMS/email, or interact with Hassan during a training session. No information is purchased from third parties.
3. Why information is collected
Personal and health information is collected for the following purposes only:
- Designing safe, appropriate training programs based on your declared health status and goals.
- Contacting you to schedule, confirm, or reschedule sessions.
- Reaching your nominated emergency contact in the event of a medical incident during training.
- Maintaining records required by Australian tax and business law.
- Defending the legal rights of Hassan Nafeh and FitVault if a dispute arises.
4. How information is stored and protected
Intake form submissions are received via email through EmailJS and stored in the FitVault Gmail account (fitvault98@gmail.com), protected by two-factor authentication. Payment records are kept in accordance with Australian tax record-keeping requirements (minimum 5 years). Physical and digital records are accessible only to Hassan Nafeh.
5. Who information is shared with
FitVault does not sell, rent, or share personal information with any third party for marketing purposes. Information may be disclosed only in the following limited circumstances:
- Emergency services — if you require urgent medical attention during a session.
- Your emergency contact — only if you cannot be reached or are incapacitated.
- Service providers — limited technical processors such as Google (Gmail), EmailJS (form delivery), and Netlify (website hosting), who process data on our behalf under their own security and privacy obligations.
- Legal authorities — if required by Australian law (e.g. court order, ATO request).
6. Your rights
Under Australian privacy law, you have the right to:
- Request a copy of the personal information FitVault holds about you.
- Request that incorrect information be corrected.
- Request that your information be deleted (subject to legal record-keeping obligations).
- Withdraw your consent at any time, which will end your training relationship.
- Make a complaint about how your information has been handled.

7. Cookies and website tracking
The FitVault website (fitvault.com.au) does not currently use tracking cookies, advertising pixels, or analytics scripts that identify individual visitors. If this changes in future, this policy will be updated and a cookie consent banner will be shown.
8. Data retention
Active client records are retained for the duration of the training relationship and for 7 years after your last session, in line with Australian tax and limitation period requirements. Prospective client intake forms (where no training relationship commences) are retained for 12 months and then deleted.
9. Concerns or complaints
If you have a concern about how your information has been handled, please contact Hassan directly first. If unresolved, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
10. Updates to this policy
This policy may be updated periodically. The current version is always available at fitvault.com.au/privacy. Material changes will be communicated to active clients by email.
